Privacy Policy

KickOff ("we", "us", "the Platform") provides online registration software used by sports clubs ("Clubs") to register players and manage parent/guardian information. This policy explains what personal information we collect, why, and how it's protected — in plain language, in line with South Africa's Protection of Personal Information Act (POPIA).

1. Who is responsible for your information

KickOff is operated by Eustace Marks, based in Cape Town, South Africa. For any privacy-related question or request, contact hello@kickoffsport.co.za.

Each Club using KickOff is responsible for the accuracy of the information it collects from its own parents and players, and for approving or rejecting registrations. KickOff acts as the platform and data processor that stores and manages that information on the Club's behalf.

2. Information we collect

From the registering parent/guardian: full name, ID or passport number, relationship to the player, mobile and WhatsApp number, email address, home address.

About each registered player: full name, date of birth, gender, ID or birth certificate number, nationality, a photo, preferred position, medical conditions, allergies, chronic medication, blood type, medical aid details, and a separate emergency contact.

Documents: birth certificate or ID copy, signed registration/consent forms, and (where relevant) transfer or medical clearance documents.

Payment information: we do not store card details. Payments are processed by our third-party payment provider (PayFast), and only a payment reference and status are retained on KickOff.

3. Why we collect it

• To register a player with their chosen Club for a season
• To let the Club verify eligibility (age group, documents, medical needs) and approve the registration
• To process payment of registration fees
• To contact the parent/guardian about the status of a registration, outstanding payments, or missing documents
• In an emergency, to give Club staff or medical personnel access to a player's medical and emergency contact information
• Where relevant, to prepare data in the format required for submission to a sport's national federation (for football, this is MYSAFA)

4. Who can see this information

A player and parent's information is only visible to the specific Club they registered with — never to other Clubs on the Platform. Within a Club, access is limited to that Club's authorised committee members / administrators.

We share information with the following third parties strictly to operate the Platform:

• PayFast — to process payments. PayFast has its own privacy policy governing how it handles payment data.
• Cloud hosting and storage providers — to securely store registration data and uploaded documents.

We do not sell personal information to anyone, and we do not use registration data for advertising.

5. Children's information

The majority of players registered through KickOff are minors. Under POPIA, processing a child's personal information requires the consent of a parent or legal guardian, or must otherwise be necessary and in the child's interest.

• By registering a child, the parent/guardian confirms they have the legal authority to do so and consents to the processing described in this policy.
• We collect only the information a Club reasonably needs to register and safely manage a player — we do not request information beyond what's needed for registration, safety, and eligibility.
• Special categories of information (health/medical data) are only accessible to the relevant Club's administrators and, in an emergency, medical responders.
• A parent/guardian can request to view, correct, or delete their child's information at any time by contacting us or their Club directly.

6. How information is protected

Documents and personal data are stored on encrypted, access-controlled systems. Access is restricted to the relevant Club's own administrators and to KickOff for the purpose of operating the Platform. We take reasonable technical and organisational steps to prevent unauthorised access, loss, or misuse of information, in line with POPIA's security safeguard requirements.

7. How long we keep information

Registration information is generally retained for the duration of the season plus a reasonable period afterward (to support returning-player registration the following season, dispute resolution, and legal/regulatory requirements). A parent/guardian or Club may request earlier deletion, subject to any legal obligation to retain records.

8. Your rights

Under POPIA, you have the right to:

• Request access to the personal information we hold about you or your child
• Request correction of inaccurate or outdated information
• Request deletion of information, where we're not legally required to keep it
• Object to certain processing, or withdraw consent where processing is based on consent
• Lodge a complaint with the Information Regulator of South Africa if you believe your information has been mishandled

9. Cookies

Our website uses only the minimal technical cookies required for the site and registration forms to function. We do not use tracking or advertising cookies.

10. Changes to this policy

We may update this policy from time to time as the Platform grows. Material changes will be reflected on this page with an updated "last updated" date.
